In order to use the Massachusetts New Hire Reporting System, you must be registered with the Commonwealth as an employer to withhold and remit personal income tax payments on behalf of an employee. In addition, you must have available the following information to register to use the system online:
  • Federal Employer Identification Number
  • Employer (corporation) name and address
  • User information including first name, last name, telephone number and e-mail address

Once you have been granted access to the system, you will be presented with two options for reporting new hires to the Commonwealth. Individual Employee Reporting allows employers to report one new hire at a time directly into the system and Batch File Employee Reporting allows employers to upload a batch file of new hire reporting information. The batch file submitted must conform to a <strong>specified format</strong> and both options require the employer to submit the following information:

  • Employee Social Security number
  • Employee name and address
  • Employee start date

System Requirements
The Massachusetts New Hire Reporting System requires the submission of personally identifying information such as name, address, Social Security number, etc. Therefore, you are required to use a Web browser that supports 128-bit encryption in order to connect to our secure server. Our secure server software encrypts all of your personal information so that it cannot be read as the information travels over the Internet. Appropriate browsers are available at no charge from the Microsoft website. After the download is complete, you must then download the 128-bit encryption patch for Microsoft browser.
