GIC Coordinator Information

GIC Coordinators, located at each agency, process all GIC benefits for active employees. Participating municipalities have a benefits coordinator who processes the initial paperwork for retiring municipal teachers. This section provides information geared to GIC Coordinators. If you are an active employee, and are not sure who your GIC Coordinator is, contact your Human Resource Department for the name and location of your agency's GIC Coordinator.

New employees can enroll in GIC benefits within 10 business days of their employment date. If your employees ask you for advice on choosing a health plan, keep in mind that "one size does not fit all". Be sure to give employees a Benefit Decision Guide to assist them with making a selection. See the Annual Enrollment page for additional information and the Annual Enrollment Tools section for other decision materials such as the rate sheet, Health Plan and Leapfrog Report Card, and a health plan decision worksheet. Annual enrollment/New Hire forms are available on line. See the your GIC Coordinator manual for step by step procedures for annual enrollment and all other procedures.

GIC Coordinators - Be sure to check the GIC Coordinator News section of this site for important updates. If you do not receive email updates from the GIC, we probably do not have your email address. Please send it and your agency/division number to us using the online contact form.


Payroll Systems

HR/CMS Agencies:

  • Enter all changes for new employees on the MAGIC system. See the HR/CMS knowledge center for helpful information. Log onto the eLearning system for step by step instructions.
  • Enter coverage changes for existing employees (e.g. individual to family coverage)
  • Enter changes to employees' health plan during annual enrollment
  • Enter withdraw coverages for existing insureds

UMass and Judicial Branch

  • Enter all changes for new employees on the MAGIC system.
  • Enter coverage changes for existing employees (e.g. individual to family coverage)
  • Enter changes to employees' health plan during annual enrollment
  • Enter withdraw coverages for existing insureds

Off-Line Agencies: Update your individual payroll system and send GIC the completed enrollment forms.

GIC Forms

Most of the GIC's forms are now available on this web site in a pdf format. Employees can print ongoing and annual enrollment/new hire forms, fill them out and give them to you to submit to the GIC. You also have copies of all forms in your GIC Coordinator manual.


    GIC Publications
The GIC sends its communications materials to all agencies. For Your Benefit newsletters, containing important GIC benefit updates and health-related articles, are sent to agencies on a quarterly basis. Agency quantities are determined by the number of employees enrolled in GIC health plans. Current and past issues are also available on this site's publication section.

Agencies receive the GIC's Benefit Decision Guides before annual enrollment to assist with their decision-making. These guides are also designed for new employees. The guides in their entirety, as well as by section, are also available on the Benefit Decision Guide section of this site. Other useful decision tools, such as the health fair schedule and rate sheets are also on this site.


Common Questions and Answers

As a GIC Coordinator, you will receive a variety of questions about GIC benefits and how they are affected by employee status changes. The most common questions are answered in the Your GIC records section of this site.
