Time - Reported

Reporting Regular Time for the Week for an Employee

 

On the SSTA homepage, click on the Manager Self Service link.

 

You will arrive at the Manager Self Service page.  Click on the Timesheet link.

 

The Timesheet Summary page will be displayed.

 

On the top of the page is the Employee Selection Criteria table.

 

This table is divided into two columns:  Description and Value, and has nine rows:  Group ID, Employee ID,

 

Employee Record Number, Last Name, Department, Supervisor ID, Workgroup, and Mail Drop ID.  

 

The Employee Selection Criteria table is populated by data tied to your reporting structure.  

 

You will not need to change the selection criteria.

 

Below the Employee Selection Criteria table are Clear Selection Criteria, Save Selection Criteria, and Get Employees buttons.

 

The Clear Selection Criteria button deletes data in the Employee Selection Criteria table.

 

Use the Save Selection Criteria button to save your search parameters.

 

The Get Employees button is used to retrieve a list of employees based on the search criteria listed in the table.

 

Below the buttons is a table that gives you the option to view search results by week, by a particular date, or by navigating to a previous and next week in the pay cycle.  

 

On the bottom of the page is a table for the employees that report to you.  

 

This table is arranged in 14 columns of data:  Name, Employee ID, Employee Record Number, Reported Hours, Hours to be Approved, Scheduled Hours, Exception, Approved/Submitted Hours, Denied Hours, Job Description, Department, Workgroup, Supervisor ID, and Mail Drop ID.

 

The table contains rows for each employee that reports to you.  

 

Next, click on the Get Employees button.  Click on the first name in the search results.

 

You will arrive at the employee’s timesheet.  

 

However, there are some subtle differences.  

 

A unique difference is the addition of the Apply Schedule button located to the right of the Submit button on the timesheet.

 

Notice that this employee’s timesheet is blank.  

 

In this case, the employee did not submit their time for the week.  

 

Click on the Apply Schedule button to populate the employee’s schedule with their hours worked.  

 

Notice there is now a TRC in the TRC column for regular time.  

 

Click on the Submit button.  The Submit Confirmation page will appear.

 

Click the OK button to certify the timesheet.  Note, by entering time for an employee you are

 

attesting to their attendance record and are responsible for accuracy.

 

You will return to the employee’s timesheet.  

 

Ensure that the employee’s Scheduled Hours and Reported Hours match.

 

Locate the Reported Time Status table located beneath the timesheet.

 

A column has been added on the far right hand side of the table to the right of the Comments column.  

 

This column is called Select and has a check box under the column for each row of information in the table.  

 

Notice that in the Status column the time still shows a Needs Approval status.  

 

Next, you will be shown how to approve time directly from the employee’s timesheet.

 

Beneath the Reported Time Status table are buttons:  Select All, Deselect All, and  Approve Selected.

 

Use the Select All and Deselect All buttons to check or uncheck all checkboxes in the Select column.  

 

You can also check each box in the Select column individually and click on the Approve Selected button to approve reported time.  

 

Click on the Select All button to put a check in all the check boxes in the column.

 

Click the Approve Selected button to approve the employee’s reported time.

 

A message will appear on the screen which asks “Are you sure you want to approve the selected time?  

 

Once the page is saved, the time cannot be unapproved.”  

 

Click the OK button to approve the employee’s reported time.

 

After you click OK you will be brought to the Approve Confirmation page which informs you that the approval was successful.  Click the OK button to return to the employee’s timesheet.  

 

Review the Status column in the Reported Time Status table.  Ensure that each day has an Approved status.
