Reporting Time with Labor Distribution
If you are a labor distribution employee, you will need to report your time worked and identify time spent on specific projects.
In this scenario the employee will report regular time for work performed on two different projects.
To record work on two different projects the employee must choose different combo codes on the timesheet.
A Combo code is data which represents time charged to a particular project or account.
The process of choosing a combo code is very similar to choosing a time reporting code or TRCs.
The labor distribution timesheet has several unique columns so employees can report combo codes.
To the right of the Taskgroup column is the Combo Code column.
The Combo Code column has a row for each day of the week, a text box for each day of the week, and magnifying glass to search for combo codes.
Let’s review how to enter a combo code.
We’ll assume that on Monday, you worked on two different projects. You worked six hours on Project A and two hours on Project B.
You must report time for project A and B separately on the timesheet and distribute or associate the hours to different combo codes.
On the timesheet, adjust your time worked on Monday to 6 hours to reflect the amount of hours on Project A.
To report the amount of hours for Project B, you will need to add a row.
Scroll to the right of the timesheet and click the add a row icon.
Record your hours worked on project B. In this case, enter two hours in the new row in the Monday column.
Scroll to the right and click the combo code magnifying glass link for Project A. This opens the Look Up Combo Code dialogue box.
Scroll through the combo code values and select the appropriate combo code link. Repeat the same steps in the row for Project B.
Notice the combo code field has been populated with the selected combo code.
Next, if instructed by your agency, you will need to select user fields.
Scroll to the right of the timesheet. Labor distribution timesheets have five columns entitled User Field 1 through User Field 5.
User Fields further define time worked on a particular projects.
Not all agencies will use User Fields. If applicable, your agency Human Resources or Payroll department will inform you how to use the user id fields appropriately.
If you have no changes, click the Submit button to route your timesheet for approval to your supervisor or manager.
Once submitted, the Submit Confirmation page informs you that the submission was successful.
Click the OK button to certify you reviewed your time.
