Job Description

Job Title:         Office Assistant
Department:   Retirement
Location:         City Hall, 24 Lowell St., Peabody, MA 01960
Hours:             32½ hours per week, Monday – Friday
Reports to:      Pension Administrator
Date:               October 20, 2025

SUMMARY:
Assists in the day-to-day administration and operation of the retirement office.  The successful candidate has strong administrative and clerical experience, meticulous attention to detail, and excellent customer service skills necessary to achieve and maintain the efficient operation of the retirement office.  The position requires the application of considerable judgement, confidentiality and timeliness.  The position reports to and works under the general supervision of the Administrator.

ESSENTIAL DUTIES and RESPONSIBILITIES:
Include but not be limited to:

  • File hard copy information alphabetically
  • Scan, file, and maintain electronic records
  • Answer telephones and greeting customers
  • Maintains accurate and up to date member/retiree files
  • Incoming and outgoing mail and ordering office supplies
  • Prepares benefit enrollments for retired employees and beneficiaries
  • Audit monthly benefits invoices for accuracy
  • Point of contact for employee self-service portal
  • Respond to member/retiree inquiries and provide general guidance regarding benefits
  • Assists members in completing PERAC required forms, maintains lists of missing forms
  • Assists in the preparation of the monthly Board agenda
  • Assists with year-end and periodic reports, preparation, and distribution
  • Additional duties may be assigned as needed

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and in the timeline allotted by the Administrator.  The individual must maintain regular and steady attendance.  The individual must possess outstanding interpersonal skills, adequate technical and analytical skills, and have proven oral and written communication skills.  The job requires complete confidentiality.

EDUCATION and/or EXPERIENCE:
High School graduate or GED with general office experience required if no post high school education.  Business school or college degree and/or MGL Chapter 32 experience preferred.          

LANGUAGE SKILLS:
Ability to communicate technical information to a non-technical audience.  Ability to write routine correspondence without supervision.  Must be able to read and write in English. 

TECHNICAL AND MATHEMATICAL SKILLS:
Familiarity with PTG or BSPS Retirement Software is preferred but not required.  Skilled in applications of Microsoft Word and Excel.  Ability to operate a ten key adding machine, fax and copy machine.  Ability to add, subtract, multiply and divide using whole numbers, common fractions and decimals.

PHYSICAL DEMANDS and WORKING CONDITIONS:
Must have the ability to reach, move and lift files weighing up to 25lbs.  The noise level in the work environment is usually low to moderate.  Professional or business casual dress code is required.

MISCELLANEOUS INFORMATION:
The candidate selected for this position must agree to and successfully complete a pre-employment background check, physical, drug screen and CORI.

The candidate selected must be willing to attend occasional training, seminars, workshops, and/or conferences.

Salary range: $28.00-$32.55 hourly – depending on experience and qualifications.
