Delegate Account Management (healthcare audience)

Overview: The Delegate Account Management tutorial, will demonstrate how to manage a delegate account authorized by the primary account holder, relating to delegate’s access to MassPAT (the proprietary system called PMP AWARxE). A MassPAT registered primary account holder is permitted to authorize delegates to conduct searches in the system on behalf primary account holder. The tutorial will review the system’s features used to approve pending account requests.  Additional features, enable the monitoring of delegates to ensure appropriate use of the MassPAT system, which permits access to confidential information on personal medical histories.

To start, go to the MassPAT login page and log into your user account.

Logging in directs you to your user Dashboard—as noted by the breadcrumbs and title near the top of the page. On this page, below the list of system-generated patient alerts and the table of recent searches conducted under your account, is a table listing any approved or pending delegates linked to your account. Here is where you go to review a delegate account request that is pending your authorization.

On the Delegate Management page, select the table row for the pending delegate to open a panel with additional information. After reviewing this information, you may either Approve or Reject the request by selecting one of the buttons above the top right part of the summary panel.

The key consideration when approving a pending request is whether you are confident that the delegate will use the PMP search system appropriately and use it only in conjunction with his or her professional duties on your behalf. As the primary account holder, you are the representative of the hospital or practice, which is responsible for searches conducted by delegates that you authorize to use the system.

After approving a system user, you will always have the option later to remove your authorization of that delegate account.

Now, to look at features for monitoring the search activity of your delegates, let’s return to your Dashboard. First, select Menu at the left of the navigation bar, then, under the Home heading, select Dashboard.

Here we’re interested in the table listing Recent search Requests. Notice that PMP searches conducted by a delegate are shown with the user’s name.

To view the results from a delegate search, select a row in the table. Let’s select the search run on patient David Banner by delegate Alicia Garcia. Note that how to conduct searches on patients’ prescription histories is covered in a separate MassPAT tutorial.

Here is the Patient Report for this patient.

Note that you can refine the search that generated this report by clicking on the Refine Search link. This will give you the ability to enter different information or select different options and run a revised search.

To get to another page where you can monitor delegate search activity, click on Menu, then Requests History under the RxSearch heading. The main advantage of this view is that it provides a more comprehensive listing of searches over time that were conducted under your primary user account.

The summary information presented in the Requests History table is similar: It includes the search history for you—the primary account holder—in addition to the search history for any delegate authorized to conduct searches on your behalf. Note that you can conduct your own search from this page by clicking Advanced Search, selecting the options of interest, and clicking Search. Also note that you can download Requests History results in a PDF or CSV file by clicking on the appropriate icon.

For now, let’s view the results from a delegate search, selecting the table row of interest. Again, let’s select the search run on patient David Banner by delegate Alicia Garcia. Then select the View button in the panel that opens below the summary table.

First note, however, that there is also a Refresh button here to enable you to re-run the delegate’s earlier searches—in case more current patient history information is now available in the system.

Here again is the Patient Report for David Banner.

Note that delegates can also search on the prescription history of multiple patients at the same time using the bulk patient search feature. The individual patient results from a bulk patient search will be listed in the Requests History table. They will also appear in the bulk patient search area of the system. Let’s quickly go to just the main page of bulk patient search. We’ll stop here, since a separate MassPAT tutorial fully describes how to use the bulk patient search feature.

This concludes this demonstration. You should now be able to manage delegate authorization requests and monitor their subsequent search activity in MassPAT.
