Guide for Reporting Time for JAWS Users

This guide is designed for JAWS users who report their time in Self Service Time and Attendance.

Submit Time and Attendance with no Changes or Deviations

Step 1. Log into Employee Self-Service using your User ID (employee id) and password. By default you should be in the User ID Field. If you are not press Insert + F5 to pull up the Select a Form Field Dialogue box. Press the letter U to ensure that the User ID field is highlighted (should be first on the list), hit enter to place your cursor in the User ID field. Type your User ID into the field and press Tab to move to the Password Edit field and type in your Password. Press Tab to go to the Sign In Button and press ENTER. Note: If you have not been setup as an accessibility user under the My Personalizations – Personalize General Options – “Use accessible layout mode”, please use the following instructions. After typing in your Password, Press Tab three times to access the Enable Accessibility Mode checkbox. Press the Keyboard Spacebar to select the checkbox. Press Shift and Tab twice to go back to the Sign In Button and press ENTER. This displays the Employee Self-Service Home page.

Step 2. Press Insert + F7 to access the Links List and press the letter T until you hear the TIMESHEET link and press ENTER. This displays the TIMESHEET PAGE.

Step 3.  Once the timesheet is open, press Insert+F5 to open the Form Field dialogue box. Press the letter S until the Submit button is selected then press the Enter key.

Step 4.  This will open the Employee Certification box, press the enter key.

Step 5.  This concludes the process of submitting your timesheet.

Verify the Details of What You Submitted on Your Timesheet by Using the Status Table

Step 1.  Once the timesheet is submitted, press the letter T. Repeat when needed until the Reported Time Status table is selected.

Step 2.  Press Control+Down Arrow if you wish to skip reading the column headers. This will also prompt JAWS to read the data populated in the first cell under the headers.

Step 3.  Once in the first cell with populated date, use the Down Arrow key to read the rest of the row. Reminder: When you report worked hours, your TRC fields in the status table remain empty or blank.

Step 4.  Press the Control+Down Arrow again to read the rows.

This concludes the process of reviewing the Reported Time Status table.

Verify the Total Number of Hours Submitted on Your Timesheet

Step 1.  After you submit your time, press Control+Home to make sure the cursor is at the top of the page.

Step 2.  Press Control+F to open the JAWS Find dialogue box.

Step 3.  Once the box is open, type the words Reported Hours and press the Enter key. JAWS will read your Reported Hours and Scheduled Hours. The Reported Hours are the total number of hours you submitted for that week.

Note:  When the Timesheet is in Day view, the Reported Hours are the total number of hours you submitted for that day.

This concludes the process of reviewing the total number of hours submitted on the timesheet.

Report Leave Time for an Entire Week

Step 1. Log into Employee Self-Service using your User ID (employee id) and password. By default you should be in the User ID Field. Press Shift and Tab twice to go back to the Sign In Button and press ENTER. This displays the Employee Self-Service Home page.

Step 2. Press Insert + F7 to access the Links List and press the letter T until you hear the TIMESHEET link and press ENTER. This displays the TIMESHEET PAGE.

Step 3. Press Insert+F5 to open the Select a Form Field dialogue box. Press the letter T. Repeat until the TRC Edit field is selected, and press the Enter key.

Step 4. Type the TRC code, ie. VAC, and press the Enter key. Press the Tab key to get the cursor out of the TRC field.

Step 5. Press Insert+F5 to open the Form Field dialogue box. Press the letter S to select the Submit button and press the Enter key.

Step 6. This displays the Submit Confirmation page. Press the Enter key.

Step 7. This concludes the process of reporting leave time for an entire week.

Report Leave Time for an Entire Day Using the “View by Day” Timesheet

Step 1. Follow earlier instructions and submit your timesheet for the entire week with no changes or deviations.

Step 2. Once you have submitted and confirmed your time for the week, press the letter C to select the View by Combo Box.

Step 3. Press Alt+Down Arrow to open the Combo List Box.

Step 4. Press the Up or Down Arrows until the Day option is selected. This updates and changes your timesheet to day view, and displays the first day of the week which is Sunday.

Step 5. Press the Tab key until you get to select the *Date required field and change the populated date to the desired date.

Step 6. Tab over to Refresh Timesheet Link Graphic and press the Enter key.

Step 7. Press Insert+F5 to open the Select a Form Field dialogue box.

Step 8. Once the Select a Form Field dialogue box is open, arrow up or down or press the letter T until the TRC Row 1 Edit is selected and press the Enter key.

Step 9. Type the proper Time Reporting Code to indicate the type of leave you are taking for that day. For example, V A C for vacation or S I C for sick.

Step 10. Press the tab key to get the cursor out of the edit field. Press Insert+F5 to open the Form Field dialogue box.

Step 11. Once the Form Field dialogue box is open, press the letter S until the Submit button is selected then press the Enter key.

Step 12. This will open the Employee Certification box, press the letter B to select the OK button then press the enter key.

Step 13. The Submit Confirmation screen will now be displayed, press the letter B to select the OK button then press the Enter key.

Step 12. This updates and displays the Timesheet. Verify that you entered your time correctly. See earlier tip sheet on how to verify time reported.

This concludes the process of Reporting leave time for an entire day using the “View by Day” timesheet. If you wish to change the timesheet from “View by day” to View by Week,” continue to the next section.

Change the Timesheet from “View by day” to “View by Week” After Submitting Time for One Day

Step 1. Once you complete modifying your time in day view, press the letter C to select the View by Combo box.

Step 2. Press Alt+Down Arrow to open the Combo List Box.

Step 3. Use the Up and Down Arrows until the “Week” option is selected and press the Enter key. This updates and displays the timesheet in week view starting with the day you had just modified.

Step 4. Press the Tab key until you get to the *Date field and type the date for the day you want your time sheet to start. You can also get to the *Date field by opening the Form Field dialogue box by pressing the Insert+F5. Note: Date format should be MM/DD/YYYY. For example, 04/15/2021.

Step 5. Tab over to Refresh links and press the Enter key. The timesheet will display the week properly.

This concludes the process of changing the timesheet from View by Day to View by Week after submitting time for one day.

Report Leave Time for Part of a Work Day Using the View by Day Timesheet

Use this process if you start your work later than your scheduled time, or if you leave work before your scheduled time.

Step 1. Follow earlier instructions and submit your timesheet for the entire week with no changes or deviations.

Step 2. Once you have submitted and confirmed your time for the week, press the letter C to select the Combo Box.

Step 3. Press Alt+Down Arrow to open the Combo List Box.

Step 4. Press the Up or Down Arrows until the Day option is selected and press the Enter key. This updates and changes your timesheet to day view, and displays the first day of the week which is Sunday.

Step 5. Press the Tab key until you get to the *Date required field and change the populated date to the desired date.

Step 6. Press the Tab key to select the Refresh link and press the Enter key.

Step 9. Press Insert+F5 to open the Select a Form List.

Step 10. Once the List is open, press the letter A until the Add a row is selected and press the Enter key.

Step 12. Press Insert+F5 to open the Select a Form List, use the Up and Down arrows or the short cut key to select the day you wish to modify in Row 1 edit and press the Enter key. This places the cursor in the Edit field. Reduce the number of hours as needed. Example: If you left work 2 hours early on Monday type 5.5 in the Monday Row 1 Edit to reduce your REG hours.

Step 13. Press Insert+F5 to open the Select a Form List, use the Up and Down arrows or the short cut key to select the day you wish to modify in Row 2 edit and press the Enter key. Type the number of leave hours for that day. Example: If you left work 2 hours early on Monday type 2 in the Monday Row 2 Edit.

Step 14. Once you have entered the number of hours in the in edit field row 2, press the Tab key once. This selected the T R C field. Type the proper code. For example, V A C for vacation or S I C for sick.

Step 15. Press the Tab key once to exit the edit field.

Step 16. Press Insert+F5 to open the Form Field dialogue box.

Step 17. Once the Form Field dialogue box is open, press the letter S until the Submit button is selected then press the Enter key.

Step 18. This will open the Employee Certification box, press the enter key.

Step 20. Verify that you entered your time correctly. See earlier tip sheet on how to verify time reported.
