POSITION:                            
Office Assistant

SALARY RANGE:              
$24.91/hour  – $27.55/hour, commensurate with qualifications and experience; a full-time, benefitted position that works 40 hours per week; on location, no remote                        

POSITION PURPOSE:
The Falmouth Retirement System seeks a highly motivated, qualified individual to serve in the capacity of the full-time Office Assistant who will assist in the day-to-day administration and operation of the retirement office. The successful candidate has strong administrative and clerical experience, meticulous attention to detail, and excellent customer service skills necessary to achieve and maintain the efficient operation of the retirement office. Position requires the application of considerable judgement, confidentiality and timelines. This position reports to and works under the general supervision of the Assistant Director.

ESSENTIAL FUNCTIONS:
(All performed in compliance with MGL Chapter 32 and PERAC regulations)

  • Perform a wide range of routine administrative and clerical functions including but not limited to: greet and direct inquiries from the public; answer and direct incoming phone calls; process and track incoming and outgoing department mail; prepare documents, reports and correspondence; maintain and scan departmental files; and order department supplies.
  • Provide routine information to the public - assisting with any inquiries or questions they may have (assistance provided in-person, via telephone and/or by e-mail).
  • Process new member enrollment applications.
  • Upload and import member deductions into retirement database.
  • Review and verify retirement data to assure accuracy and maintain accurate records.
  • Prepare member estimates and member account related functions when requested.
  • Monitor the retirement email accounts to make sure all are addressed.
  • Attend retirement related seminars and education opportunities.

QUALIFICATIONS:

  • Minimum of an associate’s degree, preferably in a business or related field.
  • Administrative experience in a professional office environment preferred, experience in a MA public retirement system will be given preference.
  • Willingness to learn retirement laws and regulations.
  • Strong organizational and critical thinking skills with acute attention to detail.
  • Ability to establish and maintain effective and congenial working relationships with the members, employers and retirement staff.
  • Commitment to excellent quality service at all times.

SKILLS, KNOWLEDGE and ABILITIES:

  • Effective customer service communication.
  • Proficient with the use of computers, specifically Microsoft Office Suite and Adobe.
  • Regular operation of computer, telephone, copier, fax machine and other standard office equipment.
  • Ability to prepare routine correspondence and reports utilizing computerized office applications.
  • Proficient written and oral communication skills and aptitude for numbers and details.
  • Excellent organizational, planning and analytical skills.
  • Perform multiple tasks in a timely and accurate manner.
  • Work independently and be self-motivated.
  • Maintain confidentiality of member records.
  • Massachusetts General Laws Chapter 32 and PERAC regulations preferred.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. WORK ENVIRONMENT:
Work is generally performed in an office setting with a moderate noise environment and interruptions. Workload and stress levels vary. The Office Assistant is required to have constant contact with other staff and members of the public – excellent customer service skills are required. This position has access to confidential information and other sensitive data.
