The New Bedford Contributory Retirement Board seeks a qualified individual to serve in the capacity of full-time administrative assistant. This position works under the general supervision of the Executive Director and Office Manager and performs a variety of routine and complex clerical and administrative duties serving to assist and support the operation of the New Bedford Contributory Retirement System and office.
General responsibilities and essential functions include but are not limited to:
- Provide a wide range of routine administrative functions significant to the operation of a public retirement system
- Greet and receive members of the public - assisting with any inquiries or questions they have regarding their account (assistance provided in-person, via telephone and/or e-mail).
- Answer the office’s multi-line telephone system, including routing calls to others in the office, taking messages, and answering general questions/requests for information.
- Process new member enrollment applications
- Open and distribute interoffice mail and correspondence
- Review and verify retirement data to assure accuracy and maintain accurate records
- Upload and import member deductions into retirement database.
- Process requests from other retirement systems concerning service time buybacks and transfers
- Oversee and process the biennial Affidavit process (occurring every two-years)
- Provide administrative support to Executive Director, Office Manager, Financial Analyst, and Board Members as requested
- Prepare member estimates and member account related functions when requested
- Attend retirement related seminars and education opportunities when schedule allows

Qualifications:
- Administrative experience in a professional office environment preferred
- Strong organizational and problem-solving skills with acute attention to detail
- Willingness to learn retirement laws and regulations
- Ability to establish and maintain effective and congenial working relationships with the members, employers and retirement staff
- Commitment to excellent quality service at all times
Skills, Knowledge and Abilities:
- Effective customer service communication
- Proficient with the use of computers, specifically Word and Excel
- Ability to prepare routine correspondence and reports utilizing computerized office applications
- Regular operation of computer, telephone, copier, fax machine and other standard office equipment
- Proficient written and oral communication skills and aptitude for numbers and details.
- Excellent organizational, planning and analytical skills
- Maintain confidentiality of member records
Work Environment:
Work is performed in an office setting. Workload and stress levels vary. The Administrative Assistant is required to have constant contact with other staff and members of the public – excellent customer service skills are required. This position has access to confidential information and other sensitive data.

RATED: Light to moderate. Minimal physical effort required to perform essential functions under typical office conditions. May be required to lift, push or pull office equipment or pick up objects weighing twenty-five (25) pounds or less. Duties require basic manual dexterity for activities such as moving objects, operating a telephone, personal computer and/or most other office equipment. Ability to operate a keyboard, calculator and to view computer screens for an extended amount of time. Regularly required to handle highly confidential information. Mental requirements include strong ability to think analytically, use effective verbal and written communication, to retain names, details and to concentrate and maintain focus. The administrative assistant is constantly required to read documents and reports for understanding and routinely for analytical purposes. The employee may be required to determine color differences.
Compensation and Work Schedule:
Salary commensurate with experience plus comprehensive benefits package. Position works 35 hours per week.
