Reports To: Executive Director
Schedule: Full-time, 37.5 Hours Per Week
Status: Non-Exempt
Salary Range: $65,000 - $85,000 annually with benefits. Commensurate with education and experience
General Summary:
Under the general supervision of the Executive Director and in accordance with MGL Chapter 32 and PERAC Regulations, the Assistant Executive Director provides administrative and member support to ensure accurate recordkeeping, compliance, and service excellence.
Essential Job Functions:
Member and Retiree Support:
- Serve as the first point of contact for visitors and callers.
- Assist members and retirees with requests and documentation.
- Maintain and update membership records and retirement deduction imports.
Administrative and Office Support:
- Manage reception, mailings, filing, scanning, and supply ordering.
- Handle weekly banking and prepare payroll/accounts payable warrants when needed.
Compliance and Recordkeeping:
- Ensure confidentiality of all records and sensitive information.
- Ensure retiree payroll is accurate and checks/direct deposits are mailed on time each month.
- Calculate retirement benefits and provide counseling to members and beneficiaries.
- Process buybacks, make-ups, redeposits, and military service verifications.
- Oversee annual retiree affidavit mailings, member statements, and Board elections.
Collaboration and Board support:
- Ensure proper posting of notice of Board meetings and meeting packages are complete.
- Attend monthly Board meetings and are responsible for meeting minutes.
- Work closely with Town departments to support shared initiatives.
- Complete mandatory training and stay current with PERAC regulations.
Qualifications:
- 3-5 years of administrative experience in an office environment.
- Familiarity with M.G.L. Chapter 32 and PERAC regulations (or willingness to learn).
- Strong math and analytical background
- Strong interpersonal, written, and oral communication skills.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite.
- Ability to work independently, prioritize tasks, and maintain confidentiality.
- Commitment to accuracy and service excellence.
- Additional duties as assigned.

Physical Demands and Working Conditions:
Work is performed in a typical office environment. While performing the duties of this job, the employee is frequently required to sit and talk or hear. The employee must have the ability to reach, move and lift files weighing up to 25 lbs. The candidate selected must be willing to attend occasional training, seminars, workshops, and/or conferences for several days.
