DCMS Tip Sheet Volume 4 Edition 5 Project Evaluations

August 11, 2023

Greetings from DCAMM Contractor Certification!

Let’s talk about project evaluations!  When are they requested? What projects can be evaluated? Who is responsible for obtaining them? How can you make sure you always have enough evaluations on file to maintain your certifications?  You have questions – we have answers.

When Are Evaluations Requested?

When you renew your certification, DCAMM emails a courtesy notice to your customers requesting they complete the evaluation form for your listed projects. The request directs them to our evaluation webpage where they can either submit the evaluation form through the Evaluation Portal or they can still use the PDF Evaluation form and submit it to the CertEval inbox via email if they so desire.  (Click for Fillable PDF )

Which Projects Can Be Evaluated?

We have been receiving questions about which projects can be listed on your projects table.  Projects do not need to be completed within the Commonwealth of Massachusetts to be used towards your certification.  DCAMM accepts projects completed within the United States.  Although it is always best to include your most recently completed projects, we will gladly email your past clients as well to complete an evaluation on behalf of your company if the project was completed within the appropriate certification lookback period.  For Prime applicants the lookback period is five years.  Prime applicants should make sure to include your highest valued projects as those evaluations can be used to establish your Single Project Limit.  For Filed Sub-Bidder certification the lookback period is three years.

Who Is Responsible for Obtaining Evaluations?

Although DCAMM sends out evaluation requests as a courtesy, it is up to the contractor seeking certification to make sure you have enough evaluations on file to support all your requested Categories of Work. By now, we’re sure you know that you can view your Numerical Rating Summary Sheet (NRSS) which lists your company projects that have been evaluated.  The user guide to access your list of evaluated projects can be found on our website under Certification Helpful Hints (Accessing Your NRSS User Guide).

How Can You Make Sure You Have Enough Evaluations To Maintain Your Certifications?

You do not need to wait for DCAMM to request evaluations – you are free to obtain evaluations from your evaluators throughout the course of the year.  Many contractors request evaluations from their evaluators at the end of each project.  This is an excellent way to make sure you always have enough evaluations on file to maintain your DCAMM Certifications for all your Categories of Work. For any evaluations you obtain when you do not have an active application in process, DCAMM will hold them in reserve for you until your next application period.  Again, evaluations can be submitted both through the evaluation portal and the CertEval Inbox. If at any time you have questions about your evaluations, you should contact your most recent Compliance Officer who processed you most recent application.
