EEC provides detailed instructions on how to register for fingerprinting on its fingerprint notification letter. It is extremely important that you use the identification you provided to your employer when they input your BRC. If your name does not exactly match what you provide as an identification document, then you may be turned away from your appointment. The letter includes an ID number that a candidate will need to register for fingerprinting on the IdentoGo™ website. You cannot book a fingerprinting appointment without a fingerprint notification letter.

How soon after submitting a candidate for a BRC will their fingerprint notification letter be sent?

How soon after submitting a candidate for a Background Record Check should I expect to see their fingerprint notification letter? Will this notification be sent directly to the candidate? As a Program Administrator (formerly Reviewer) where can I find this notification?

For candidates submitted in BRC Navigator, fingerprinting is the first part of the process. It will be sent to the candidate by e-mail right after the candidate is submitted. After a candidate completes a fingerprinting scan, the other checks will be triggered.

For candidates submitted in BRC Manager, the fingerprint notification letter will be available to Group and School Age Child Care and Residential and Placement programs in BRC Manager within a couple of days after it is submitted. For family child care programs and programs that do not use BRC Manager, the program will receive the fingerprint notification letter by mail and must provide a copy to the candidate to schedule an appointment.  The fingerprint notification letter should be available within 2-3 business days of EEC receiving the BRC request.  However, if a candidate has a pending finding that is under review, then the fingerprint notification letter will not be released until the pending finding is updated by EEC in its BRC system to an “approved” status.

For candidates whose fingerprint notification letter is received by e-mail from BRC Navigator, the fingerprint notification letter is good for up to 45 days. If a candidate is not fingerprinted within the 45 days, then EEC may issue a not suitable for failing to respond or cancel the candidate’s BRC requiring that it be re-entered.

For candidates submitted in BRC Manager (EEC’s legacy system), the fingerprint notification letter does not expire, however, EEC recommends booking a fingerprint appointment with IdentoGo™ within fourteen (14) days of receiving the fingerprint notification letter, to prevent any delays in the processing of a BRC. EEC has worked with the fingerprinting vendor to ensure that letters dating back from 1/3/2017 onwards can be used to schedule appointments at this time. Each fingerprint notification letter can only be used to book one (1) appointment.
