Please use these quick links for the tools listed below to support your work with DPH:
- Update Contact Information: Use this form to update any contact information within your agency. It is important for DPH to have updated contact information for any new staff to ensure important communications are received by the correct person at programs
- REDCap is the data storage and collection system that providers use to submit quarterly programmatic data reports to DPH. For technical support regarding the REDCap system, contact DPHREDCap@MassMail.State.MA.US

Contract compliance & support
Data and reporting: Providers are expected to conduct regular data reporting related to the services and/or programs funded by the DPH. Different program models have different data reporting expectations and tools. However, the majority of sexual and domestic violence providers are expected to submit programmatic data reports quarterly (October, January, April & July) by the 20th of the month after the quarter closes (or 1st business day after the 20th).
Quarterly data reporting calendar
The reporting calendar below shows the data reporting schedule across the year, starting in July. Details as follows:
- Quarter 1 data collection is shown to happen from July through September, with the report due October 20th
- Quarter 2 data collection is shown to happen from October through December, with the report due January 20th
- Quarter 3 data collection is shown to happen January through March, with the report due April 20th
- Quarter 4 data collection is shown to happen from April through June, with the report due July 20th
Most programs submit their data reports through the REDcap system. For questions regarding your data reporting expectations or for support with your REDcap account, please contact us at SDVdivision@mass.gov.

- Activity Report Form (ARF): Used to report prevention, education, trainings, meetings, etc. for some program models.
- Quarterly Service Reports – Group Services: Use to report group counseling and group services for some program models.
- Quarterly Service Reports – Individual Services and Client Demographics: Used to report client demographics and one-on-one services for some service models.
Invoicing and billing
The Division of Sexual and Domestic Violence Prevention and Services funds over 85 programs through over 256 individual contracts. There are a few different types of contracts, and payment methods, used in our Division. Most programs are expected to submit monthly invoices by the 15th of the month (or the first business day after the 15th) through the Virtual Gateway (EIM) system. Other programs receive funds by submitting an invoice through our payment voucher system. Programs should contact their Contract Manager(s) with any questions related to:
- Invoices & billing
- Payment issues
- Line-item amendments
- State or federal funding
- Allowable expenses

Technical assistance
The Division of Sexual and Domestic Violence Prevention and Services seeks to provide technical assistance to support the work of funded providers and increase the capacity to address the needs of survivors of domestic and sexual violence. We offer regularly scheduled technical assistance sessions and are available to provide individual technical assistance and support, as needed.
